Summary
The Project Coordinator is an office based role supporting the administration of our ARS teams in the Meeting & Events industry. The ideal candidate will possess a good level of experience in administration and project coordination, be able to demonstrate superior customer service and trouble shooting skills, as well as a flexible approach to work. The candidate will work as a member of an excellent close-knit team and will be responsible for coordinating varying types and sizes of ARS events. Candidates must possess Microsoft office and interpersonal skills as well as a desire to learn.
Essential activities & responsibities include:
Coordinating the logistics and resources for your projects, where attention to detail and accuracy are paramount
Be competent in organizing national and international travel and freight, making the best arrangements for the most competitive price
Ensuring the crew schedule is constantly updated and notifying relevant team members
Keeping clear and detailed records of arrangements and decisions made
Ensure the success of the project and full support to the technician and client teams
Maintaining a positive and proactive relationship with both in-house delivery teams and clients
Coordinating financial aspects of the event including logistics budgets and invoicing
Develop proficiency in all IML technology systems and tools– adhering to key procedures
Consistently work to identify causes of reoccurring issues and improve work processes
Ensuring excellent communication on events – notifying all parties of updates, changes and being aware of what the impact of these changes might be on our crew, and client and how best to mitigate any problems
Establish rapport with all our clients to deepen the client relationship and develop your own set of accounts
Flexibility is required so that all necessary tasks are undertaken to meet the event timelines. IML work can be seasonal and the support team need to be flexible to help out other teams in their busy periods and generally help across the business where needed
Work alongside external account managers as an internal sales support – producing accurate proposals for clients in a timely manner
Understand the pricing structure for all IML products and services.
Assist in organizing the external sales team schedules including booking demo appointments, exhibits and tradeshows
Keep track of proposals, follows up and potential new opportunities
Ability to meet challenging assignments with a positive attitude
Education & requirements:
High School Graduate/GED, some college preferred
Proven track record of project coordination and administration
Excellent customer service skills proven through demonstrated ability to interact well with people and help others
MS Office suite – essential Word (Excel & PowerPoint to an adequate level)
Experience of working with not –for– profit organizations useful but not essential
Need to be able to lift up to 50 lbs occasionally
